Position Summary:

The Accounts Payable & Reporting Specialist II serves as a critical member of the Accounts Payable team, ensuring both operational accuracy and regulatory reporting compliance. This role is responsible for accurate financial processing, project support and the processing of regulatory reporting related to Washington’s Cap and Invest Climate Commitment Act (CCA), Washington’s Clean Fuels Program and Oregon’s Clean Fuels Program. This position spans Accounts Payable financial operations with reporting accountability, contributing to both departmental efficiency and regulatory integrity. Essential Position Functions and Responsibilities:

Accounts Payable:

  • Process high-volume and complex invoices, including CAPEX, ensuring accuracy and timeliness.

  • Reconcile Vendor statements and resolve discrepancies.

  • Resolve moderately complex invoice discrepancies and vendor issues.

  • Maintain accurate and organized electronic files.

  • Ensure proper calculation, reporting, and recordkeeping of all sales and use taxes

  • Assist with audit requests.

  • Assist with month-end and year-end closing activities.

  • Responsible for cross-training in other duties and responsibilities within the Accounts Payable Department.

    Specialized Reporting:

  • Prepare, review, and submit accurate compliance reports for Washington’s Cap and Invest, Washington’s Clean Fuels Program and Oregon’s Clean Fuels Program in accordance with deadlines and guidelines.

  • Collect, validate, and maintain data related to fuel transactions, emissions, credits, and deficits to support reporting, accuracy and audit readiness. Prepare documentation and respond to external audits requests for the annual Greenhouse Gas audits for Washington and Oregon.

  • Monitor program updates, policy changes, and reporting requirements, and coordinate internally. Ensure Standard Operating Procedures are updated on our internal SharePoint site.

  • Other duties as assigned by Supervisor or Manager.

Minimum Education and Experience:

  • High school diploma plus 2 years of Accounts Payable or Regulatory Reporting experience, or equivalent combination of education and experience.

  • Experience with ERP based accounts payable systems and processes.

Preferred Education and Experience:

  • Associate’s degree in accounting, Business, or Finance plus 2-4 years of relevant experience, or equivalent combination of education and experience.

  • Experience with regulatory or environmental reporting is preferred.

Equipment and Software Requirements:

  • Proficient in accounting software (ERM).

  • Experience in Enterprise Resource Planning (ERP) systems preferred. Sage, preferred.

  • High proficiency using Microsoft Suite (Excel, Word, Outlook, PowerPoint, SharePoint).
